The platform

Everything after“yes, please”.

This is the system we build and run: 15 modules that carry a job from first enquiry to invoice without anyone typing the same thing twice. Written by us, hosted by us, and shaped around the business using it.

01

Customers and products

Every customer, contact and address in one record, and a product catalogue holding specification, materials, finishes, dimensions, prices and production times.

02

Enquiries and the pipeline

Enquiries from the website, the design studio or the phone land in one list with an owner, a next action and a date. Nothing sits forgotten in somebody's inbox.

03

Quotations

A quote carries the customer, the products and the specification straight from the enquiry. Priced, sent, and tracked through to accepted or declined.

04

Orders

An accepted quote becomes an order keeping the same number. Required-by dates, delivery details and payment terms travel with it.

05

Bills of materials

What goes into one of each product, including waste. Material cost, labour and margin are visible against the sell price before anything is made.

06

Stock and purchasing

Stock comes off as jobs go into production. A shortfall raises draft purchase orders, one per supplier, for management approval before they are sent. Deliveries book back in.

07

Production scheduling

Jobs are booked into the hours the workshop really has. Anything that will miss its date shows red — before it is promised to the customer.

08

Job packs and travellers

Every job prints with its traveller and the approved proof. Until the pack is marked printed, the job cannot start.

09

Shop-floor tablets

Each station takes its own jobs and records time on the job, quantities passed, failed, reworked or scrapped, photographs of the work and anything that went wrong.

10

Scan any job, from anywhere

Every traveller prints with its own QR code. Scan it with a phone and the job opens — what it is, whose it is, where it has got to and what has been scrapped.

11

Chat to the shop floor

Message everyone, the office or one person, from anywhere. It appears on the tablet at the station and is dealt with there, instead of a walk across the building.

12

Quality, rejects and remakes

A failed piece is not a shrug. Replacement material comes off stock, a remake job is raised and scheduled, and the whole lot is reportable.

13

Dispatch and invoicing

Order confirmations, dispatch notes and invoices go out branded, from the same system, with nothing rekeyed.

14

Reporting

Stock valuation, what to order, material usage, scrap and rejects, product costing and margin — on screen and exportable to a spreadsheet.

15

Roles and security

Who may see and do what, sign-in codes, locked accounts, remembered devices and PINs for the workshop. The owner's account cannot be touched by anyone else.

A worked example

One awkward job, all the way through.

A club orders 24 five-piece head cover sets for a captain’s day four weeks out. Here is what the system does with it, without anybody keeping a private spreadsheet.

ORD-1044 — 24 × head cover set, five piece
1Quote accepted — order keeps the numberDone
2Bill of materials priced — margin checkedDone
3Stock short by 12m of navy synthetic leatherPO raised, awaiting approval
4Scheduled — 72 workshop hours across 5 daysFits the date
5Job pack: traveller + approved proofPrint before start
6Station 2 scraps one cover — remake raised, stock drawnRe-scheduled
7Dispatched and invoiced — true cost recordedClosed

Illustration of the steps the platform takes a job through.

Built in modules. A typical build runs on a fortnightly release: website and portal, then design and proofing, then quotes and orders, then the manufacturing workflow, then scheduling and reporting — with testing and training before handover. You see working software the whole way, not a demonstration at the end.
How it is built

Your system, not a seat on somebody else’s.

  • Written from scratch in PHP and MySQL — no page builder, no template, no plugin sprawl
  • Runs on our hosting or yours, with the data in a database you own
  • No per-user licence that charges you for hiring people
  • Branding, terms, rates and rules live in settings, not buried in code
  • Every change dated and recorded; every release backed up before it goes out
  • Works on a desk, on a tablet at a station, and on a phone
